Privacy Policy

Last updated

LiveSolN is a website monitoring and SEO platform operated by [Company Legal Name], referred to here as "LiveSolN", "we", "us", or "our". This Privacy Policy explains what information we collect when you visit https://livesoln.com or use the LiveSolN platform and related services (together, the "Service"), how we use and share it, and your rights and choices.

We build LiveSolN for businesses, marketing agencies, and in-house marketing teams, so much of the data flowing through the Service relates to our customers' websites and their visitors. We treat it as our customers' data and process it only on their instructions to provide the Service.

1. Scope

This policy covers information collected through our website, application, crawlers, automated emails, and support channels. For account, billing, and usage information, we are the data controller. When we crawl a customer's websites or display data from a Google Analytics property it connects, the customer is the controller and we act on its instructions as a processor or service provider under our Terms of Service and any data processing agreement. This policy does not cover our customers' own practices, the websites they monitor, or third-party services you connect to LiveSolN.

2. Information we collect

2.1 Account information

When you create an account or join a team, we collect your name, email address, password (stored only in hashed form), company name, and notification preferences.

2.2 Billing information

Our payment processor collects your payment card or bank details directly; LiveSolN never receives or stores full card numbers. We keep your billing name and address, plan, invoices, transaction history, and the card type, expiry date, and last four digits.

2.3 Website and crawl data

We process the information you ask us to collect about the websites you add: domains and URLs; the pages and resources our crawler retrieves; sitemap and robots.txt files; uptime and performance measurements; keyword lists and ranking positions; backlink data; and the resulting reports and alerts. A crawl may cover up to a million pages, which may incidentally contain personal data published on your website, such as author names or contact details.

2.4 Google Analytics data

If you connect a Google Analytics account, we access, with your authorisation, the properties and reports you choose to share, such as traffic, engagement, and conversion metrics. Section 5 explains how we handle this data.

2.5 Usage data and cookies

We automatically collect information about how you interact with the Service, including IP address, browser and device type, pages viewed, features used, referring URLs, timestamps, and error logs, some of it through the cookies described in Section 6.

2.6 Support communications

When you contact us by email, chat, or our support portal, we keep your messages, attachments, and contact details so that we can respond and improve our support.

3. How we use information

We use the information we collect to:

  • provide and operate the Service, including crawling and monitoring your websites, running SEO checks, tracking rankings, monitoring backlinks, and displaying analytics data;
  • send the reports, alerts, and notifications you configure;
  • create and manage your account, authenticate you, and process payments;
  • provide support and send service messages such as security notices, terms changes, and billing reminders;
  • send product news and marketing where permitted by law, which you can opt out of at any time;
  • monitor, analyse, and improve the Service and develop new features;
  • detect and prevent fraud, abuse, security incidents, and violations of our Terms of Service; and
  • comply with legal obligations and enforce our agreements.

We never use crawled website content or Google Analytics data to build advertising profiles or market to your website visitors.

Where the General Data Protection Regulation (GDPR), the UK GDPR, or similar laws apply, we rely on the following legal bases:

  • Performance of a contract. Most processing is necessary to provide the Service your organisation signed up for, including account management, crawling, monitoring, reporting, and billing.
  • Legitimate interests. We process usage data, logs, and support communications to secure and improve the Service, prevent abuse, and communicate with customers, balancing these interests against your rights.
  • Consent. We rely on consent for optional analytics cookies, for marketing emails where consent is required, and when you authorise LiveSolN to access your Google Analytics account. You can withdraw consent at any time.
  • Legal obligation. We process information where necessary to meet tax, accounting, and other legal requirements or to respond to lawful requests from public authorities.

5. Google user data

LiveSolN connects to Google Analytics through Google OAuth. Google asks you to grant LiveSolN specific, read-only permissions to the Analytics data you select; we do not request write access and cannot change your Analytics configuration or data.

LiveSolN's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. In particular:

  • We use Google user data only to provide and improve the customer-facing features you have requested, such as analytics dashboards, combined analytics and crawl reporting, and the reports and alerts you configure.
  • We do not sell Google user data.
  • We do not use Google user data for advertising purposes, including serving, targeting, or measuring advertising.
  • We do not transfer Google user data to third parties except as necessary to provide or improve these features (for example, to our cloud hosting provider), to comply with law, or in a merger, acquisition, or asset sale of which you have been notified.
  • We do not allow humans to read Google user data unless you have given explicit permission for a specific purpose, such as troubleshooting an issue you reported, or it is necessary for security, required by law, or aggregated and anonymised for internal operations.

You can revoke LiveSolN's access at any time from your Google Account permissions page at https://myaccount.google.com/permissions or from the integrations settings in LiveSolN. We then stop retrieving data from Google and delete the stored Analytics data for that property within 30 days, unless legally required to keep it.

6. Cookies and analytics

We use cookies and similar technologies for two purposes:

  • Essential cookies keep you signed in, remember your session and security settings, and protect against cross-site request forgery. They cannot be switched off in the Service, though you can block them in your browser, in which case parts of the Service will not work.
  • Optional analytics cookies, used only with your consent, help us understand how visitors use our website and application by collecting aggregated information about pages visited, features used, and approximate location derived from IP address.

You can accept or decline analytics cookies in the banner on your first visit and change your choice at any time via the cookie settings link in the footer of https://livesoln.com. Most browsers also let you block or delete cookies, and we honour Global Privacy Control signals where required by law.

7. How we share information

We do not sell personal information or share it for third parties' own marketing. We share it only as follows:

  • Service providers and subprocessors. Providers that process information on our behalf and under our instructions, including cloud hosting and storage, email delivery, payment processing, customer support tooling, and error monitoring. They are contractually bound to protect it and use it only to serve us; a current subprocessor list is available from privacy@livesoln.com.
  • Within your organisation. Your activity in a team account, such as reports you create or websites you add, is visible to that account's other members and administrators.
  • Legal requirements. Where we believe in good faith that disclosure is required by law, regulation, legal process, or a governmental request, or to protect the rights, property, or safety of LiveSolN, our customers, or others.
  • Business transfers. In a merger, acquisition, financing, reorganisation, or sale of assets, information may be transferred as part of the transaction; we will notify you before it becomes subject to a different privacy policy.
  • At your direction. When you ask us to, for example when you invite a colleague, share a report with a client, or enable an integration.

8. International transfers

LiveSolN is operated from [Country/State of Incorporation], and our service providers may be in other countries, including the United States. When we transfer personal data from the EEA, the UK, or Switzerland to a country without an adequacy decision, we rely on safeguards such as the European Commission's Standard Contractual Clauses and the UK International Data Transfer Addendum. You can request a copy of the relevant safeguards from privacy@livesoln.com.

9. Data retention

We keep personal data while your account is active and as needed to provide the Service. When an account is closed, we delete or anonymise its personal, crawl, and analytics data within 90 days, unless we must keep it longer for legal, tax, or accounting obligations, to resolve disputes, or to enforce our agreements. Data removed from production systems may persist in encrypted backups for up to a further 35 days. We may keep aggregated or anonymised data that no longer identifies any person or customer.

10. Security

We apply technical and organisational measures appropriate to the risk, including:

  • encryption of data in transit using TLS and at rest, including databases, backups, and stored OAuth tokens;
  • role-based access controls and least-privilege access, so staff see only the data they need;
  • multi-factor authentication for our internal systems and support for it on customer accounts;
  • logging and monitoring of production systems, with alerting for suspicious activity; and
  • secure development practices, dependency scanning, and due diligence on the service providers that handle your data.

No system is completely secure; if a breach affects your personal data, we will notify you and the relevant authorities as required by law.

11. Your rights and choices

Depending on where you live, you may have the right to:

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data, including directly in your account settings.
  • Erase your personal data in certain circumstances.
  • Restrict how we use your data while a request is considered.
  • Port your data in a structured, machine-readable format; you can export crawl, ranking, and reporting data from the Service.
  • Object to processing based on our legitimate interests or to direct marketing.
  • Withdraw consent at any time, for example by disconnecting Google Analytics, changing cookie settings, or unsubscribing from marketing emails.
  • Complain to a data protection supervisory authority, in particular in the EU or UK country where you live or work.

California residents

California residents have rights under the California Consumer Privacy Act as amended by the California Privacy Rights Act (CCPA/CPRA) to know what personal information we collect, use, and disclose; to request its deletion or correction; to opt out of its sale or sharing; to limit the use of sensitive personal information; and not to be discriminated against for exercising these rights. We do not sell personal information or share it for cross-context behavioural advertising.

How to exercise your rights

Email privacy@livesoln.com from your account email address or use the privacy tools in your account settings. We may need to verify your identity and will respond within the time required by law, usually one month under the GDPR and 45 days under the CCPA. Where we hold your data as a processor for a customer, we may refer your request to that customer and assist them in responding.

12. Children

The Service is for business use and is not directed to children. We do not knowingly collect personal data from anyone under 16; if you believe a child has provided personal data to us, contact privacy@livesoln.com and we will delete it.

The Service may link to third-party websites and lets you connect third-party services such as Google Analytics. These have their own privacy policies, which we encourage you to review.

14. Changes to this policy

We may update this Privacy Policy to reflect changes in our practices, the Service, or applicable law. We will update the "last updated" date above when we do and, for material changes, give you advance notice by email or through a prominent notice in the Service.

15. Contact us

If you have questions about this Privacy Policy, email privacy@livesoln.com or write to [Company Legal Name], [Registered Address]. If you are in the EEA or the UK and we have not resolved your concern, you may also contact your local data protection authority.
